Every deal. Every step. In order.

From the first valuation call to completion, Agency Office shows your team the next step on every business, does the routine part for them, and tells you each morning what is stuck.

One path from valuation to completion

Every business moves through your steps in three stages. Each card has an owner and a due date, and turns red when it is late. Nobody has to remember what comes next.

The path, the nudge, the autopilot and the overview

Four layers, each useful on its own. Start with the cards, then add automation one step at a time.

01
The path

Progress cards

Your steps, in your order, for Valuation, New Instruction and Steps to Completion. Each tick is dated and records who did it. Required fields stop a step being ticked before the information is in.

02
The nudge

A Next button on every card

The current card shows what to do next and does it: build the particulars from your template, send them for approval, open the photos tab. A status line shows what has happened so far.

03
The autopilot

Workflows

When a card is ticked, a date arrives or a document is signed, a workflow takes over: emails the vendor, waits for an answer, chases, ticks the next card. Start from a ready-made recipe or describe what you want.

04
The overview

What is stuck, every morning

Delegate a card and keep an eye on it. Each person's morning briefing lists what is due and overdue, and managers see what was moved and done yesterday. Progress reports show the rest.

Particulars, from draft to vendor sign-off

The step that used to mean a PDF, an email, a chase and someone remembering to update the file.

  1. 1
    Negotiator

    Next: Create particulars

The card offers only your particulars templates. Pick one and Agency Office builds the document from the business record.

  2. 2
    Negotiator

    Next: Send particulars for approval

One click starts the approval workflow with the document you just checked. The card shows "Sent to vendor, waiting for approval".

  3. 3
    Vendor

    Approves from their phone

They get your branded email with the particulars attached and two buttons. No login, no app. Request changes opens a comment box, and the comments come straight back to you.

  4. 4
    Agency Office

The card ticks itself, and the next one is current

"Particulars approved by vendor" is completed with the date, it is logged on the business, and "Photos taken" becomes the next step with its own owner and due date.

Ready-made recipes. Or build your own.

Each recipe is mapped to your own templates and statuses when you install it, then tested on a real record before it is switched on. Or describe what you want in plain English and AI drafts the workflow for you to check.

Progress cards

Particulars approval

The vendor approves by email link, then the card is ticked. Request changes sends their comments back to the negotiator.

Progress cards

Sale agreement signed

When the agreement is signed online, its card completes itself. No one has to go back and tick it.

Progress cards

Card completed: tell the vendor

When a step is done, the vendor gets a short acknowledgement and the next card is ticked off automatically.

Enquiries

Confidential or open enquiry

Confidential businesses get your NDA first and the details once the signed NDA comes back. Open ones get the details straight away.

Viewings

Viewing feedback: ask, then chase

The day after a viewing, ask the buyer for feedback. If none comes back in three days, the negotiator gets a follow-up booked.

Marketing

Four weeks on the market

28 days after launch, send the vendor an update and book the negotiator in for a price review.

Plus offers, status changes, price changes, new contacts and more. Every workflow can be paused, skipped or approved from the business record.

Know what is stuck before 9am

Because every step has an owner, a due date and a dated tick, the reporting comes free. No spreadsheet to keep up, no Monday meeting spent asking where things are.

  • Delegate and watch. Hand a card to a colleague and see if it goes quiet.
  • Morning briefing. Each person's AI briefing lists their due and overdue steps. Managers also see yesterday's totals.
  • Progress board. Every open business by stage, current step, owner and days on that step.
  • Overdue by owner, and conversion by person. Who has what, and how many valuations become instructions.

Your process, not ours

Business transfer, commercial lettings, investment sales: every office runs a deal differently. We set up the cards with you, and they can change as you do.

Your steps

Name them, order them, hide the ones you do not need. Different departments can have different cards.

Your timings

Target days per step set each due date, so "late" means late by your standard.

Your fields

A card can hold its own information, for example the answers from a discovery call, and insist it is filled in before the step is ticked.

Done with you

Software With a Service: we map your current checklists and forms onto cards and recipes, and train the team.

Common questions

What are progress cards?

They are the steps a business goes through in Agency Office, from valuation to completion, shown in order on the record. Each card has an owner, a due date and a tick, so everyone can see what has been done, what is next and what is late.

Can we use our own steps?

Yes. Each agency has its own cards, in its own order, with its own target days, owners and required fields. We set them up with you to match how your office already works.

Does the vendor need to log in to approve particulars?

No. The vendor gets an email with the particulars attached and Approve or Request changes buttons. The link is single-use and expires, and their answer goes straight back to the record.

Do we have to automate everything?

No. Progress cards work on their own as a shared checklist. You add workflows one at a time, starting from a ready-made recipe, and test each one on a real record before switching it on.

We already use Steps to Completion. What changes?

Progress cards are Steps to Completion, upgraded and extended back to the valuation and the new instruction. Your existing completion steps carry on as they are.
