Data Deletion

This page explains how you can request deletion of your personal data held by Agency Office Ltd ("Agency Office", "we", "us", "our"), and how an agency can disconnect its WhatsApp Business number and have the associated data removed. You do not need an account or to be logged in to make a request.

1. How to Request Deletion

To request deletion of your data, email us at Chris.haines@agencyoffice.net with the subject line "Data Deletion Request". This inbox is monitored specifically for privacy and deletion requests. You can also write to us at Agency Office Ltd, 167-169 Great Portland Street, London, W1W 5PF.

2. What to Include in Your Request

So we can locate your data and verify the request, please include:

  • Your full name and the email address associated with your data
  • Your organisation / agency name, if the request relates to a business account
  • If the request relates to WhatsApp, the WhatsApp Business phone number involved
  • A short description of what you would like deleted (all data, a specific record, or a specific integration)

We may ask for additional information to confirm your identity before acting on a request, so that we do not disclose or delete data on behalf of the wrong person.

3. What Data Gets Deleted

On a verified request we will delete the personal data we hold about you, which may include:

  • Contact details submitted through our website or forms (name, email, phone, company)
  • Account and user profile information
  • Records and communications stored on your behalf within the platform
  • WhatsApp integration data, as described in section 6 below

4. What We May Retain

We may retain a limited amount of data where we are legally required or permitted to do so, for example:

  • Billing, invoicing, and transaction records, retained for up to 6 years to meet UK tax and accounting obligations
  • Records needed to establish, exercise, or defend legal claims, retained for the applicable limitation period
  • Minimal information needed to record that a deletion request was made and honoured

Retained data is kept only for as long as necessary for the relevant purpose and is then deleted.

5. Response and Completion Timeframe

We will acknowledge your request within 3 working days and complete the deletion within 30 days of verifying your identity. If a request is particularly complex we will let you know and keep you informed of progress.

6. WhatsApp Business Data

Agency Office lets an agency connect its own WhatsApp Business number to the platform (via Meta's Embedded Signup for the WhatsApp Business Platform) so it can message its contacts. If you no longer want this connection, you can have it removed as follows.

Disconnecting your WhatsApp Business number

An agency can disconnect its WhatsApp Business number at any time from within Agency Office, under Settings → Integrations → WhatsApp, by choosing Disconnect. If you are unable to access the platform, email Chris.haines@agencyoffice.net with the WhatsApp Business number and we will disconnect it for you.

What is deleted on disconnection or request

When you disconnect your WhatsApp Business number, or ask us to remove your WhatsApp data, we confirm that we will delete:

  • The stored access token used to send and receive messages on your behalf
  • The WhatsApp Business Account (WABA) linkage and phone-number registration held in our systems
  • Your WhatsApp message history stored in the platform

The access token is revoked and deleted immediately on disconnection. Any remaining WhatsApp message history and linkage data is deleted within 30 days of your request, subject only to the limited legal and accounting retention described in section 4. Once removed, Agency Office holds no WhatsApp access token, WABA linkage, or message history for your number.
